Quality Assurance Coordinator

FUNCTION

The Quality Assurance Coordinator (QA Coordinator) supports all departments with records management, as well as the oversight and coordination of behavioral data, goal tracking, transportation attendance, and quality assurance systems.  The QA Coordinator also serves as a backup administrator for Therap and Sandata EVV, and facilitates training for new hires.

REPORTABILITY

Reports directly to: Manager of Quality Assurance
Supervisory Responsibilities: None

RESPONSIBILITIES

Program responsibilities:

  • Receives Annual and Semi-Annual reports from Day and Residential programs and forwards reports to DDS Case Managers. Ensures follow-ups occur to ensure all reports are received by the agency on time, according to the DDS procedure.
  • Collects weekly Program & Transportation Attendance Waivers, reviews them for completeness, emails a copy to Finance, and files the originals.
  • Therap trainer for all ACP new hires.
  • Submits for billing the weekly Transportation Attendance in Therap.
  • Coordinates in-person trainings to ensure new hires and existing employees are enrolled and trainings are scheduled throughout the calendar year.
  • Provides back-up support to Collect & file all nursing delegation sign-in sheets and track yearly expiration dates. Follow up with managers and supervisors.
  • Assists with archiving older Program documents in the archive area.
  • Provides assistance as needed, for the reception desk at 3PW.

Quality Assurance Responsibilities:

  • Assists with the maintenance of Therap modules for all program departments, workgroups, and ISP Program creation and update, etc.
  • Assist DDS Quality Service Review Auditor during in-person audits, provides requested information, and Therap technical support.
  • Provides support as the administrator backup for Director, Quality Assurance in Therap and EVV.
  • Enters new Contract Service Authorizations into Therap after receiving from Corporate Accounting.
  • Update current Contract Service Authorizations in Therap with changes received from DDS.

Behavioural Supports Responsibilities:

  • Receives reports from the behavioural consultant and distributes them to Directors, Service Coordinators, and Supervisors; this includes all new and revised behaviour plans.
  • Receives and submits annual, semi-annual, and quarterly (for residential) behaviour reports to DDS case managers, service coordinators, house supervisors, and Supervisor of Community Supports.
  • Creates and maintains, Behaviour Support Programs in Therap, based on the Behaviour Plans developed by the behavioural consultant.

Other Duties:

  • Performs other duties as assigned by Director, Quality Assurance.
  • Assists with other program areas as needed.
  • Responsible for reading and becoming familiar with Staff Personnel Handbook and all other Allied Community Services, Inc. policies and procedures.

CORE COMPETENCIES & QUALIFICATIONS

  • High School diploma or equivalent.
  • General office experience in computer work including intermediate-level use of MSExcel, MSWord, MSOutlook, Windows, Therap, and Sandata EVV.
  • Ability to manage multiple tasks.
  • Ability to communicate effectively (in person or in writing) and work productively with service providers, community members, and outside agencies.
  • Ability to accurately handle/maintain large amounts of detailed information is essential.

This is a full-time, non-exempt position starting at $19-$20 per hour.
